The information given to Dual Credit High Schools about the Proctored Events can be found below to give you, the instructor, a better idea of how to help each student.
Contact Person
Each school has a designated contact person, counselor, or instructor who works with Testing Services to coordinate exam requests. At the beginning of each semester, they receive a Welcome Letter outlining:
- What is a Proctored Event?
- The policy it upholds.
- Proctoring expectations.
- How to request each exam.
Students should review their schedule/syllabus and begin coordinating their exams with their counselor early in the semester. The process is as follows:
- Student Coordination: The student informs their counselor of the exam availability window.
- Student Completes Request: The student fills out the OTC Off Campus/Dual Credit Request form.
- Counselor Notification: Testing Services will check that the proctor can uphold the Proctoring Expectation with the counselor.
- Testing Information: Testing Services sends the testing information and the Proctor Verification Form to the proctor the day before the requested exam date. Testing will CC the instructor in case there are any updates made, the instructor has the information to reach out to the proctor, as well. The proctor must sign this form to verify they proctored the exam as requested.
- Returning of the forms/exams:
For paper component-based exams:
- The proctor returns all documents to the instructor.
For online exams:
- The proctor returns the Verification Form to Testing Services, where it is held in case there are any questions.
What is a Proctored Event?
At OTC, online courses are required to have a proctored event per policy 2.21 – Proctored Events for Online Courses. One type of proctored event is a proctored exam. Instructors are expected to list the proctored exam(s) and testing windows in their syllabi. Life happens, and in some cases the testing window could change. Please advise students to keep in constant contact with the counselor and monitor course announcements for any changes.
Taking a Proctored Exam
Dual Credit students taking online courses have a few options for proctored exams:
- High School Proctoring (Preferred Option):
- Students should inform their high school proctor about their exam schedule.
- Student will fill out the Off-Campus/ Dual Credit Request Form.
- We will provide the test information by the end of the day before the scheduled exam.
- A 48-hour notice is required to gather and send proctoring information.
- PLEASE DO NOT RELEASE THE EXAM PASSWORD TO THE STUDENT/TESTER. Testing Services will send this information to the Proctor to not be seen by students.
Proctoring Expectations:

- Verify student identity.
- Ensure a quiet, conducive testing environment.
- Monitor the student throughout the exam.
- Ensure the exam is completed in one sitting.
- Encourage the student to use the restroom before starting the exam. If they must leave the room, please check that they do not leave with their cell phones.
- Follow all instructor-provided instructions.
- Report any suspicious behavior or cheating.
- For paper/pencil exams, scan and email the completed exam to the instructor.
- Proctors should not be relatives, friends, clergy, or employers of the student.
- Proctorio:
When utilizing a high school proctor is not feasible, students may use Proctorio for most courses (there are some exceptions). If utilizing Proctorio for an online exam:
- Proctorio is an online proctoring system, used through a browser extension, which requires a good internet connection and a webcam.
- Testing Services does not need to be contacted about exams that will be taken through Proctorio.
- Exam passwords are entered automatically when using Proctorio; it should not ask for an access code.
- If there are any issues with Proctorio, contact OTC Online or Proctorio Support.
- Off-Campus Proctoring:
- Finally, if neither of those options is possible, students may need to have their exam proctored elsewhere (e.g., another community college, a library) and may find an Off Campus Proctor and complete the Off-Campus/Dual Credit proctoring request.
COM-105 Proctored Event
Last but not least, students who are taking COM-105 will need to reach out to our Speech Communication Center regarding their proctored event. They will be your point of contact, rather than Testing Services. This information is also in the course syllabus.
